
W-2 Electronic Media Changes for 2007
IRS has made changes to the W-2 electronic media format for Tax Year 2007. Visit the IRS W-2 Filing Specifications site for more information on the Magnetic Media Reporting and Electronic Filing (MMREF) guidelines. DPS Payroll application customers should contact their project leader or complete the W-2 Response Form and return to DPS in order to schedule alert application. Please contact DPS by December 21, 2007, in order to schedule this service.
W-2 Electronic Media Changes
The key changes to the electronic media W-2 format for 2007 are:
RA (Pos 20-23) Software Vendor Code added
RI (Pos 265) Civil Status Field removed
There is also a W-2 form change. The SSN, Control Number and Void boxes have been relocated.
DPS Extend does not currently track the above information that has been added to the electronic media format, and, as a result, these changes should not affect you at all. The electronic format has changed, though, so the software has been modified to account for field deletions, additions, and field position changes, in order to make the electronic file format compliant.
File Transfer Format
While there are various methods to send the W-2 information to the Social Security Administration, DPS Payroll software only creates the transfer file on the iSeries in EBCDIC format. It is the customer's responsibility to send the file electronically using the proper format. DPS can assist on a time and materials basis in sending the file.
W-2 Printing Format
Of the variety of W-2 printing formats available, DPS Payroll software supports only the standard government preferred form. If your organization elects to use a form other than the standard government preferred form, please contact DPS for modification assistance required to accommodate the alternate form.
Availability
Customers having current maintenance agreements will have access to these changes, in the form of alerts, at no charge. DPS will assist in the installation of the alerts as well. Please contact your DPS project leader for additional details. For those of you who do not have a current maintenance agreement, DPS will supply these alerts at a cost of $399.00, plus any time and materials charges to assist with the installation of the changes. Target availability of W-2 alerts is December 28, 2007.
Reminder - What Next?
DPS Payroll application customers should contact their project leader or complete the W-2 Response Form and return to DPS in order to schedule alert application. Please contact DPS by December 21, 2007, in order to schedule this service well in advance of the January 31, 2008, deadline to distribute W-2 forms to employees.
